Job description

The Teamlead Operations (M/F/d) is an important part of our back-office team based in Munich-Laim for the DACH region (Germany, Austria and Switzerland). S/he will support the Operations Manager in managing the day-to-day operations of the Munich back-office team and will be responsible for the smooth execution of orders to the satisfaction of our clients, as well as the continuous development of people and processes. S/he will report directly to our Operations Manager GSA.

**Responsibilities**:

- Managing the back-office team in Munich
- Planning, prioritising and monitoring daily business processes - from incoming mail to order processing and invoicing.
- Coordinate activities between the back-office team in Munich and the order team in Lisbon.
- Developing and implementing a forecasting system to better plan and structure future workloads
- Acting as a point of contact and solution finder for the back-office team on all order processing issues.
- Ongoing processing of operational errors and training & development of the back-office team to avoid them.
- Ongoing development of the back-office team in relation to customer correspondence to increase customer satisfaction through constant analysis of internal and external communication.
- Ongoing training and coaching of staff to ensure high levels of morale and motivation.
- Provide ideas for improvement in quality, output, productivity, etc. as a basis for decision making and subsequent implementation of improvement actions.
- Developing and implementing solutions for health insurance specific requirements, both in terms of processes and systems.
- Ongoing evaluation of implementation to identify and recommend new standardised and efficient ways of working.
- Provide day-to-day support in the event of staff shortages

Required qualifications

Training and experience
- You have a degree in business administration/economics or a comparable degree with at least 2 years of professional experience OR have at least 5 years of professional experience.
- Experience in the fields of medical technology, pharmaceuticals/OTC, medical devices and/or consumer goods.
- Familiarity with MS Office365, Salesforce Lightning and SAP as well as the use of relevant systems for the processing of cost estimates & cost approvals (egeko, MIP-ekv or LEOS/ZHP.X3) is helpful.
- Fluency in German and English is essential.
- Knowledge of the diabetes market is an advantage.

- Experience of managing small to medium sized teams.
- Strong communication skills, self-organisation, a hands-on mentality and pragmatism are necessary qualities for successful work.
- Initial experience in setting up and developing new structures and processes.
- Excellent communication and presentation skills
- Ideally experience of coaching and people development
- Enjoy working with new technologies for digitalisation and automation
- Strong team player
