**Job Overview**

The Facilities Coordinator has a key role within the Operations team in making sure that the Management and Delivery of the FM Services are in line with the contractual requirements, ensuring that KPI's are adhered to, as well as meeting all obligations to the client as outlined in the site specific schedule of works.
- Responsible for issuing the coordination of planned, reactive, Hard and Soft FM works
- Responsible for work management of all reactive and planned maintenance tasks
- Ordering materials for the maintenance team and keeping track of the materials expenditure.
- Ensure their work areas are kept presentable
- Planning and co-ordination of all works/services with service teams and supply chain
- Carrying out Subcontractor inductions and issuing the relevant passes
- Archiving Planned Maintenance paperwork and updating planned and reactive subcontractor governance folders.
- Co-ordination of all operations with service teams, central helpdesk, contractors and suppliers.
- Raising of purchase orders as required for the completion of reactive works
- Ensure satisfactory records are kept in the CAFM system for all work orders, making sure status reflect the work and log notes are updated.
- Provide regular updates to line manager on operational issues.

**What we are looking for**

**Technical Competencies**:

- Experience in a similar a role (allocating and managing work orders, liaising with a centralised helpdesk team)
- Understanding of helpdesk and CAFM system workflows
- IT literate in MS Office and CAFM systems (preferable Maximo or Concept)
- Able to demonstrate the co-ordination and management of planned and reactive services end-to-end

- Is confident in making decisions and follow up these decisions with action, achieving objectives by motivating and working through others
- Being able to view short-term targets in the light of longer-term objectives, work with agreed systems and procedures, and maintain accurate records

- To be well presentable towards internal client as well as representing our client towards different contacts, contractors etc.
- Fluent verbally and written in English Language.
