**Scitech GmbH** has an exciting opportunity available for an enthusiastic individual with proven working experience as an Administrator. This position is a part-time role based in Braunschweig, Lower Saxony Germany.

**Key responsibilities and accountabilities**:

- Answering and transferring calls, taking, and forwarding messages and handling correspondence
- Reception duties such as meeting and greeting visitors, dealing with couriers and deliveries etc
- General office duties such as incoming and outgoing post, organising couriers, ordering of business lunches, maintaining the Scitech telephone list, car registration list and the Whereabouts Chart
- Preparing Scitech CVs and ordering business cards
- General secretarial work for Senior Management, Project Managers and Engineers including typing of reports, arranging meetings, issuing of minutes, dealing with telephone enquiries
- Maintaining stationery supplies for the offices and staff on site, ordering project equipment for delivery to site, ordering PPE and branded clothing for staff, ordering branded marketing products and general items for the office
- Organising meetings, which includes sending out invites, booking rooms and organising lunches when necessary
- Working with the UK Administrators to assist with templates, correct formatting and document numbering being used by the Scitech team
- Archiving of documentation and ensuring that the correct records are kept for easy retrieval of boxes when needed
- Dealing with website enquiries, forwarding and/or replying where appropriate
- Upkeep of Project Fact Sheets in both Word and PowerPoint
- Any other tasks to assist with the smooth running of the office

**Technical competencies (skills and knowledge required)**:

- Good standard of German - both for written (i.e. spelling grammar and punctuation) and verbal communication
- Comfortable in reading and writing English
- Customer service and communication skills: relationship building, negotiation skills, confident, professional, and articulate.
- Organisation and time management skills with the ability to prioritise and work under pressure
- Able to work in a team, be flexible, have a proactive approach and use own initiative
- Attention to detail and layout
- Assertiveness, tact, discretion, and diplomacy - able to maintain confidentiality, both on projects and work undertaken for senior management
- Experienced in booking complex travel arrangements
- Competent in Word, PowerPoint, Excel, Outlook and Adobe

**Person specification**:

- Experience of working in a busy office environment with work coming in from multiple sources
- Customer service experience - dealing with clients and suppliers as well as internal clients
- Attainment of competence in MS Word, Excel, PowerPoint, Adobe, DMS and Outlook
- Demonstrate practical knowledge and problem-solving abilities
- A team player with a flexible approach when working with others
