**The Position: Office Administrator**

**Key Responsibilities**

Duties will include but are not limited too:

- Acting as the first point of contact for visitors and clients, greeting them professionally and kindly and directing them to the appropriate person or department.
- Answering and transferring incoming calls, taking messages, and providing basic information to callers.
- Scheduling and coordinating appointments, meetings, and events with the Head of HR and the CEO.
- Managing and maintaining office supplies and inventory, ordering supplies when necessary.
- Managing and maintaining an office supply budget.
- Building and maintaining relationships with 3rd party accounts relating to staff and office.
- Sorting and distributing incoming mail and packages and preparing outgoing mail and packages.
- Providing general administrative support, such as typing, filing, scanning, and copying documents.
- Booking company travel when required and anything else needed relating to the role of office administrator.
- Assisting the HR team with new starter onboardings including equipment set up,
- Being the primary person for health and safety, first aid and the fire warden in the office.
- Assisting the HR team with administrative tasks when needed.
- Ad hoc duties as per the business' needs.

**Requirements**:

- Excellent communication skills, both written and verbal.
- Ability to multitask and prioritize tasks effectively.
- Strong organizational and time management skills.
- Able to multitask in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Must be based in Malta and available to work from the office 5 days a week.
- We are unable to provide sponsorship for this role - must hold Maltese/EU Passport or Right to Work in Malta
