**Senior Assistant (General Admin Support)

**EXPERIENCE AND EDUCATION:
**Essential Qualifications/Experience:
- Vocational training/education and experience in a relevant discipline with post-related experience: demonstrated "hands-on" and practical experience in relevant areas and processes/policies: Administration, HR, IKM and Training Coordination
- Demonstrated ability to work independently within the four areas as well as with any other area related hereto as needed
- Experience in performing a broad range of work, sometimes complex and non-routine, in different fields
- Knowledge and hands-on experience with SharePoint
- Experience in activities which involve the provision of administrative assistance to compile, verify, record and process forms and documents, in accordance with NCI Agency directive/guidance
- Experience in the preparation of correspondence, proofreading material for accuracy, compiling material for publication and performing other related administrative duties

**Desirable Qualifications/Experience:
- Prior experience of supporting a performance management process
- Experience using and administrating MS SharePoint
- Knowledge of NATO HR policies
- Prior experience of working in an international environment comprising both military and civilian elements

**DUTIES/ROLE:
- Provide Administrative, HR, IKM and Training Coordination support to CSU Uedem Commander, EXO and CSU staff
- Work under the direction of the Staff Officer (EXO)
- Provide administrative support to the Commander
- Create and record documents related to CSU activities
- Take minutes of CSU meetings and deal with the administration of the weekly reports and orders
- Coordinate all visitor requests to CSU Uedem, including support for VIP visitor events. Ensuring that all visitors meet the CAOC's entry requirements
- Provides HR support to the Commander
- The responsibility for the maintenance of the CSU Personnel Database. Ensuring that all data is entered correctly and in line with the NCI Agency directive/guidance
- Overseeing in/out-processing of all CSU personnel
- Support with the Performance Management process
- Support Unit staff members in the travel administration process. Processing Travel Requests and monitoring the travel arrangements. Submission of Travel Order Amendments, if required
- Develop and monitor a local travel plan for planning and
- execution purposes
- Resolve emerging travel issues, if required
- Provide local coordination, support and execution of all training requirements for the Unit personnel (including on-site training, if required)
- Support the Commander in planning the training requirements for the Unit
- Provide bidding inputs for NATO trainings at NCI Agency Academy Oeiras & NATO School Oberammergau and for the commercial trainings, as per Commander direction
- Manage and update training requirements on the NCI Agency Corporate Academy SharePoint Site
- Coordination with NCI Agency Corporate Academy SharePoint Site on allocation of seats, training requirements, and training-related budget issues
- Create & process Purchase Requests & Purchase Orders in EBA for external training requirements
- Provide IKM support by performing alternate IKM officer duties for the CSU
- Deputize for higher grade staff, if required
- Performs other duties as may be required
