**Facilities Coordinator(Location**: Munich, Germany)
**Role**:
Facilities coordinator will be responsible for coordination and controlling of on-site services and administration, ensuring first class service delivery to the Client account. Facilities coordinator reports to JLL Facilities Manager - Site lead.
**Responsibilities**:
coordination and administration of site services at Client’s building located in Munich, Germany,
provide excellent service to the Client in line with agreed SLA & KPIs,
ensure exceptional vendor performance, manage, and track the completion of soft services delivery (including, but not limited to cleaning, landscaping, vending, catering/Café),
management of service request system. Ensure high indicator scores including POU customers’ satisfaction, SLA,
provide on demand services, coordinate on demand service process including pricing, service ordering, purchase order issuing and invoicing,
coordinate and plan annual budgeting process,
ensure accuracy of the data, analyse the costing and budgets and engage the management accordingly,
ensure monthly finance processes are delivered as per agreed timeline: invoicing, GR, UMLV,
manage and understand scope and budget change process, and contractual cost saving commitment,
ensure that on-site Client’s expectations are met and exceeded. Act as a single point of escalation for all strategic customer facing matters,
ensure reporting requirements, quality control, audit requirements, safety compliance are met all times,
perform site inspections, safety inspections and other internal quality check inspections,
assist during audit process and provide audit reports with professional justification wherever required,
actively participate in RFP processes in conjunction with JLL Sourcing Team and JLL Site lead,
understand the FM scope and in consultation with the Site lead - develop specific processes & procedures to reduce cost & improve client satisfaction,
support development & implementation of facilities management account plan for the facility,
promote Safety First attitude. Assist the JLL H&S Manager with ensuring outstanding adherence to JLL Health and safety procedures,
coordinate and understand local and corporate EHS requirements, including but not limited to Pre task plan, permit procedure, Red Tag, chemical approval process etc.
**Requirements**:
Have an experiance in facilities management, including experience in reactive and preventive work order management, soft service delivery and coordination.
Outstanding client relationship management skills with great client focus and “can do” attitude.
Commercial skills and understanding of market situation.
Ability to manage subcontracted vendors’ staff to a high-performance level.
Superior organizational, interpersonal communication and problem-solving skills.
Highly motivated, pride and ownership of facility/scope.
Ability to work autonomously.
Ability to manage multiple work assignments simultaneously, manage multiple or conflicting priorities, and handle a high-pressure working environment.
Analytical ability and attention to detail.
Written and verbal English language skills.
MS Office skills with advanced Excel, Microsoft Project, and good Word, PowerPoint skills.
