RESPONSIBILITIES

Our People Services Unit is responsible for Global Business Travel, Global Mobility, Compensation & Benefits and Real Estate.

  • Provide administrative support to team members including but not limited to scheduling meetings, making travel and accommodation arrangements, setting up meeting rooms and ensuring all necessary equipment and resources are available for meetings.
  • Be the first point of contact for any inquiries or issues related to administrative matters and facilitate communication within the team by disseminating information and ensuring everyone is aware of important updates.
  • You will assist with the management schedule and arrangements, as well as manage office supplies and equipment.
  • You will also assist with tasks such as onboarding new employees and ordering equipment / assisting with access where necessary. In addition, you will be part of the onboarding working group and work in a team to continuously improve/update the onboarding/offboarding process.
  • You will process invoices from external vendors/stakeholders, prepare authorizations for team members and organize reimbursements for team members and department leaders (workshops, lunches, professional events, company events, business trips, etc.).
  • Additionally, you will assist in the preparation of presentations and other documents as needed (communication meeting, onboarding/offboarding forms, etc.).
QUALIFICATIONS
  • completed commercial training or comparable qualification
  • first experience as a team assistant advantageous
  • experienced working with MS-Office products, especially PowerPoint
  • enjoy organizing with a strong talent for it
  • positive and enterpreneurial mindset
  • good eye for details
  • very good presentation skills
  • confident communication skills in English, German is a plus
